Personal Data Processing Policy

1. General Provisions

1.1. This Personal Data Processing Policy (hereinafter referred to as the “Policy”) defines the procedure, purposes, conditions, and methods for the processing of personal data carried out by Eclipse Group DWC-LLC (hereinafter referred to as the “Company” or the “Operator”), as well as measures aimed at ensuring the security thereof and protecting the rights of personal data subjects.

1.2. The Policy applies to all personal data received by the Company from individuals through the use of websites, services, electronic platforms, CRM systems, upon entering into agreements, participation in exhibitions and events, as well as within the framework of business, employment, and other legal relationships.

1.3. This Policy has been developed in accordance with the legislation of the Russian Federation, including the Constitution of the Russian Federation, Federal Law No. 152-FZ “On Personal Data,” Federal Law No. 149-FZ “On Information, Information Technologies and Information Protection,” and other applicable regulatory legal acts of the Russian Federation.

1.4. This Policy shall not apply to third-party internet resources, links to which may be posted on the Company’s websites or services.

1.5. This Policy shall remain in effect indefinitely from the date of its publication and shall apply until a new version thereof is approved.

2. Terms and Definitions

  • Personal Data — any information relating directly or indirectly to an identified or identifiable individual.
  • Processing of Personal Data — any action (operation) performed with personal data, including collection, storage, use, transfer, blocking, and destruction.
  • Operator — Eclipse Group DWC-LLC, independently determining the purposes and methods of personal data processing.
  • Personal Data Subject — an individual to whom the personal data relates.
  • Personal Data Information System — a combination of databases, software, and technical means used for personal data processing.
  • Cookies — small text files stored on a user’s device for the purposes of behavioral analysis and improvement of website functionality.

3. Principles of Personal Data Processing

3.1. Personal data shall be processed on the basis of the principles of legality and fairness, solely for predetermined and lawful purposes, with prevention of excessive data processing, ensuring the accuracy and relevance of information, limitation of storage periods, and ensuring confidentiality and security.

4. Categories of Subjects and Purposes of Personal Data Processing

4.1. The Company processes personal data of clients, partners, contractors, exhibition and event participants, users of websites and services, job applicants, employees, and mailing list subscribers.

4.2. The purposes of processing include organization of participation in events, conclusion and performance of agreements, business communications, marketing and informational mailings, processing of inquiries, recruitment activities, and compliance with the requirements of the legislation of the Russian Federation.

5. List of Personal Data Processed

5.1. The Company may process surname, first name, patronymic; contact details (telephone number, email address); information regarding the company and job position; identification document details (where required by law); photographs; information contained in business correspondence; and technical data (IP address, cookies, browser data).

5.2. Processing of special categories of personal data shall be carried out only where lawful grounds and the consent of the data subject are present.

6. Conditions and Methods of Personal Data Processing

6.1. Personal data processing shall be carried out both with the use of automation tools and without the use thereof.

6.2. The legal grounds for processing shall include the consent of the data subject, the conclusion and performance of an agreement, as well as the requirements of the legislation of the Russian Federation.

6.3. The Company shall be entitled to entrust the processing of personal data to third parties on the basis of an agreement, provided that confidentiality and security requirements are observed.

6.4. Cross-border transfer of personal data may be carried out subject to compliance with the requirements of the legislation of the Russian Federation.

7. Storage and Destruction of Personal Data

7.1. Personal data shall be stored no longer than necessary to achieve the purposes of processing.

7.2. Upon achievement of the purposes of processing or withdrawal of consent, the data shall be destroyed or anonymized unless otherwise provided by law.

8. Rights of Personal Data Subjects

8.1. A personal data subject shall have the right to obtain information regarding the processing of their personal data, request rectification, blocking, or destruction thereof, withdraw consent to processing, as well as appeal the actions of the Operator to the authorized supervisory authority or a court of law.

9. Cookies and Analytics

9.1. The Company uses cookies and analytical tools to analyze website traffic and improve user experience. The user may restrict the use of cookies through browser settings.

10. Measures for the Protection of Personal Data

10.1. The Company implements legal, organizational, and technical measures to protect personal data against unauthorized access, loss, alteration, or disclosure, including restriction of employee access, use of information security tools, and internal monitoring of compliance with applicable legislation.
